Clients and evaluations


 

1. Register your clients in PsihoProfile


In the CLIENTS section (see in the top bar!) you need to enter the details of the persons for whom you want to do the psychological assessment, with the option "Add new person" (on the right!).

If you want to group more than one person (group "Counselling"; group "Medical staff" etc.), first enter the data of the group/organisation with the option "Add new company/group". Basically you create a directory in which you will group the people you will register and evaluate. If you already have more than one person belonging to a group or organisation, you can group them again later by clicking on the name of each of them and then clicking on "Edit", choosing the name of the group you want them to belong to from the "Group" option.

When entering the data of the persons to be evaluated, it is compulsory to specify "Occupation COR" (it is automatically listed when you start typing the name of the occupation, with diacritics!) although in the company the job title can be different (name that you can optionally pass to "Occupation").

Warning: make a correct note of the year in which the person being assessed was born and, before saving the data, check once again that the year of birth has been recorded correctly! This is the most common error that occurs when reports are generated! For example if the year 2022 remains set, the calculation algorithm does not find a benchmark for this age range (persons born after 2022). 
 

2. Choosing how clients will respond to questionnaires


         In the "EVALUATION" section (also in the top bar!) you have to tick the box in front of the person/people you want to evaluate (those people's names will automatically appear in the top right) and choose the option "Fill in questionnaires" (also in the top right, under the name of the selected person). From the list that appears, select the acronym of the questionnaire you want (Big Five©plus, DA12profile, SM etc.) and then tick one of the options below.

  • "Send" - if you have registered an email address for that person and want to send them an invitation and a link via email (to complete the questionnaire in their office/home)!  We especially recommend using the "Send" option (e-mail invitation) for long questionnaires, because even if the questionnaire is interrupted (accidentally or due to tiredness/boredom), clicking again on the e-mail link will take you back to the last question answered, saving the information in real time.
  • "Open" - if you want the questionnaire to be completed on the spot, on that computer, tablet or smartphone on which the assessment was initiated.
  • "Enter answers" - if the printed version of the questionnaire has already been completed and you want to enter the answers of the person being assessed. For each instrument, the print versions (pencil and paper) can be found in the "METHODOLOGY" section, after clicking on the name of each instrument on the right hand side of its summary description, along with examples of Assessment/Counselling Reports, Extracts from the Sample Manual, Answer Sheets, Research Details etc. Clicking on "Enter answers" will bring up a table, above which you will have the instructions for entering the ticked answers on the questionnaire. After transferring the answers from the printed questionnaire, if the message "Data has been saved" does not appear, after clicking on "Save", you should check that you have not left any boxes blank for which you have not ticked an answer option (usually these questions are marked with a red border).

Once a questionnaire has been completed, in the "EVALUATION" section, the name of that questionnaire will appear in the lower right-hand corner, under the name and details of the person being evaluated, under the heading "Tests completed", and in "SYNTHESIS", on the first page, the message "X-lescu has completed test Z" will appear.

 

3. Generate the Psychological Assessment/Counselling Report.


         If you want to see or save the PSYCHOLOGICAL ASSESSMENT REPORT on your computer, you go to the "ASSESSMENT" section, tick the person for whom you want to generate the report (you will see the data about that person in the right column, including whether he/she has completed the questionnaire or not), then click on "Generate questionnaire reports"). From the window that will open, you will select the personality inventory for which you want the report, the option "assessment" and then "Generate", to obtain, in Word, the psychological profile file of the person assessed. In this document you can make changes to the text (not to the graphical values obtained), underline or mark important data and formulate the final conclusions ...
         To generate the COUNSELING REPORT (available for all PsychoProfile tools, except for clinical or vocational ones), follow all the steps above, but tick the "counselling" option under "Purpose of assessment" before clicking on the "Generate" button. You will get a report similar to the assessment report (Psychological Counselling Report) in which you will find in the "Counselling Suggestions" section (page 5 or 6) some suggestions, useful directions for action for the counselling activity of the person assessed.
         The two types of reports can also be generated by clicking on the code of the completed questionnaire in the "Completed tests" section (at the bottom right, after the name of the person being assessed)

 

4. If you have any problems or suggestions for optimizing PsihoProfile ...


         If something is not working as you expected or you have a suggestion for improvement of the PsychoProfile, please describe the problem or make suggestions for improvement on the first page of the PsychoProfile (SYNTHESIS) in the "Online Feedback" section (on the right). If errors occur, please describe: (1) what type of Windows and MS Office / Word you are using; (2) when the error occurs (after which sequence of clicks / commands it occurs) and (3) what kind of error occurs (what message appears). We need this information to quickly fix the problem (the message will go to the PsihoProfile software maintainers).
